BMS Mobile Privacy Policy
Last updated: 23 October 2026
This policy describes how S.M.Registration Services, the trade name of BARKATH BASHEER, handles information in its staff Business Management System (BMS) and related customer document communications. It does not describe unrelated third-party websites or apps.
Information used in the BMS
Depending on the service, the BMS handles customer names and contact details, walk-in and registration references, service requests, document numbers, task instructions and progress, uploaded documents, and communication records. Uploaded documents may contain personal, identity, property, transaction, signature or other information supplied for the requested service.
Staff access uses company Microsoft 365 accounts. The BMS may display the staff member’s name, work email and profile picture and record actions associated with that account. Where mobile attendance is enabled, location coordinates are used for attendance records with the device’s location permission.
How information is used
Information is used to provide the requested registration and related services, manage records and staff work, process documents, deliver permitted documents or service updates, maintain an audit trail, and respond to support and privacy requests. Staff access and document sharing are subject to the company’s configured BMS permissions and communication rules.
Scanning and documents
The scanner processes captured or imported pages for editing and PDF creation. Selected documents and the resulting PDFs are uploaded to company-managed storage when the user completes the relevant upload action. Device or application caches and downloaded copies may also contain information; users should protect devices used to access business documents.
Microsoft services
The BMS uses Microsoft Power Apps, SharePoint, Power Automate and related Microsoft 365 services for application access, business records, files and workflows. These services process information under the company’s arrangements with Microsoft and Microsoft’s applicable privacy and service terms.
WhatsApp communications
The current BMS can prepare WhatsApp messages containing company document links. A recipient’s WhatsApp app, browser or associated apps may handle those links according to that device’s settings.
Direct Meta Cloud API (planned): This feature is being prepared and is not currently enabled. When enabled, authorized staff may send permitted documents as WhatsApp attachments and approved service messages. The recipient’s phone number, message content, selected document and necessary delivery information will be processed by Meta/WhatsApp to provide that delivery.
A downloaded or delivered attachment is a separate copy. Expiry of a BMS sharing link does not delete an attachment already delivered to a recipient, their device or their backups. Recipients may retain or forward copies.
WhatsApp and Meta also process information according to their applicable terms and privacy policies. The BMS is not intended to send customer information for unrelated advertising.
Who may receive information
Information may be accessed by authorized company staff, the service providers described above, and intended recipients of an authorized communication. Information may also be provided to registration offices or other parties when needed for the requested service, with the applicable authorization, or when disclosure is required by law.
Retention and deletion
Business records are retained according to service needs and applicable record-keeping requirements. Retention can differ between customer records, documents, communications, attendance records, audit history, backups and temporary processing files. Removal from one system does not necessarily remove a recipient’s copies or service-provider backups.
You may request access, correction or deletion of information by contacting us. We may need to verify your connection to the relevant record. Information that must be retained for legal obligations, an active service or a dispute may not be immediately deletable; we will explain applicable limitations when responding.
Privacy and deletion requests
Email [email protected] or contact +91 98430 26112. Include a suitable contact method and your BMS reference if known. Do not send passwords, OTPs or unnecessary identity-document copies in an initial email.
